General Meeting

September 5, 2017

 

The general meeting of Jackson Middles School PTA was called to order at 6:52pm, Tuesday, September 5th, 2017, by President Jessica Christiansen.  A quorum of members was present.

 

Member Dixie Menaker motioned to approve the summer board meeting minutes.  Member Joelle Alexander 2nd the motion.  All in attendance approved.

 

Principal Kevin Crotchett welcomed the large group of attendees and reviewed the successful first annual 6th grade Jump Start day on 8/30/17.  Photos will be loaded to a secure site for parental viewing soon.

 

Treasurer Kathy Jennings reviewed the budget.  The proposed 2017-2018 proposed income is $80,730 and expenses are $72,239.  The PTA Savings account register balance as of 8/31/2017 was $44,678.02. The PTA checking register account balance as of 7/31/17 was $2,816.56.

 

  • President Jessica Christiansen reviewed our fundraising goal of $90,000 for the upcoming school year. This includes $25,000 for the Artful Learning Program, $25,000 for other programs, such as Cultural Day, Library subsidies & Field Trip Scholarships, etc.  In addition, this includes $40,000 for four additional Chrome carts (including 120 Chromebooks) so that each Language Arts class has a dedicated cart.
  • Member Melissa Schmidt motioned to approve the budget and Member Diane Smith 2nd the motion. All in attendance approved.

 

Ensemble Lead, Dixie Menaker, discussed the Ensemble fundraiser “Taco Night” at Back to School Night and how to RSVP.

 

Cookie Dough fundraiser Lead, Diane Smith, announced that Cookie Dough sales would kick off Friday, 9/8/17.  Samples will be available at Back To School Night.

 

President Jessica Christiansen announced that Principal Kevin Crotchett would give a “Kev Talk” at the next PTA meeting on 10/3/17 titled “Surviving the Middle School Years: A Parent’s Guide”

 

Membership Chair Deb Cox reviewed volunteer options and how to sign up, including directly via the link on the PTA website.

 

Volunteer Coordinator Marci Forbes discussed upcoming volunteer needs:

  • 9/20-9/27 Cookie Dough distribution.
  • 9/22 Picture Day.
  • ½ yard mulch still needs to be spread, timing flexible.
  • Clothing Closet at Marshall HS on 9/28 & 1/8
  • Need someone to chair Staff Appreciation hospitality during fall conference week and in the spring (one day per month)
  • Book Fair during fall conferences

 

President Jessica Christiansen reviewed the upcoming JMS low key “auction”, the Bernie Bash scheduled for Friday, 11/17/17 at the Multnomah Arts Center.  This includes dinner, drinks, music, dancing, a beer pulls, a restaurant pull.  A planning meeting is this Friday, 9/8/17 at Marci Forbes’ house.

 

Learnstein/Special Friends Night moved from the fall to the spring on 3/15/18.  This offers parents and grandparents a chance to tour the school and view Artful Learning projects.  Mr Crotchett discussed how the Artful Learning program started in 1997.  There are approximately 32 schools who follow this program in the USA and JMS is the only one in Oregon.

 

President Jessica Christiansen mentioned the Neighborhood Food Drive.

 

Member Diane Smith recommended that parents attend Mr. Crotchett’s monthly coffee talks.

March 15th PTA Meeting Minutes

Jackson Middle School PTA

General Meeting

March 15, 2017

 

The general meeting of Jackson Middle School PTA was called to order at 6:36pm, Wednesday, March 15th, 2016 by President Debora Cox. The meeting was held at Round Table.  A quorum of members was present.

Principal Kevin Crotchett gave an overview of the district office meeting regarding the budget for the 2017-2018 school year.

  • The PPS School Board voted on an $8 billion state budget, however an $8.4 billion budget is needed to keep the status quo. There will be $18 million in cuts to PPS.  $9 million will be cut from the district office.  The other $9 million will come from the schools.  For Jackson, there will be some reductions in class room support.  However, we will add a 6th grade core to accommodate growth.  PPS will not be observing the increase in PE requirements due to the funding shortage.  JMS is the only middle school that maintains full PE for half of the school year.  Kevin is looking to increase electives.  Possible areas of increase are in the STEAM arena, possibly 2 periods (.5 teacher) for mixed grades.  Growth at JMS is helping to mitigate the losses.
  • JMS just started a 7th grade AVID class. It is preliminary and in draft form at this point, but there is a formula for a 7th and 8th grade AVID class next year.

 

President Deb Cox initiated a vote on the minutes from the previous General Meeting.  They were passed unanimously.

 

Vice President Jessica Christiansen reviewed Bernstein Bash preparations:.

  • Currently there are 60 tickets sold (which is up from last year) and 17 comped to the teachers as of today. Discussed preparing food for 120.
  • Expenses are at $4000.
  • PTA will cover the $75 cleaning fee for the Manzanita house that is the raffle prize.
  • Deb suggested selling class art next time, but because students do not stay with one teacher like in elementary school, it hasn’t been part of culture at JMS.
  • Kara suggested moving Bernstein to fall. Tabling the discussion to another time.

 

Treasurer Kelly reviewed expenses:

  • Fred Meyer fundraising going well. Earned $1000 so far and budget was only $700.
  • Cultural day was $4455 (with more expenses likely to come).

 

Volunteer Coordinator Marci Forbes reviewed volunteer needs:

  • Jessica is taking on April Teacher Breakfast event. Still need May leader.
  • No leader for GNO yet. Marci will reach out to Kevin to advertise on the Jagwire again.  Can’t be PTA run, because not open to full student body.

 

New business:

  • President Deb passed around info on Cascadia Earthquake Emergency preparedness. We are reserving the auditorium on April 19th at JMS at 6:30pm.  There will be no PTA meeting in April as a result.  There will be no child care.  The presentation will last 90 minutes with time for Q&A.  Jessica will sell cookies.  The presentation will be open to community and we will advertise on Nextdoor and Feeder Schools.

 

  • All PTA board positions are open for next year, but no nominee yet for President position. Will be voted on at the May PTA meeting.

 

  • April 4th Dough for Dollars with Pizzacato.

The general meeting of Jackson Middle School PTA was called to order at 6:35pm, Wednesday, February 15th, 2016 by Vice President Jessica Christiansen.  A quorum of members was present.

Volunteer Coordinator Marci Forbes called for a vote to approve the November minutes.  All present approved.

Treasurer Kelly Christopherson reviewed the accounts:

  • Fall fundraiser came in under what was expected for income and expenses.
  • Fred Meyer rewards are already at 75% of our annual goal.
  • We did get some general donations that were not specific to the fall fundraiser.
    • $200 received from Year End Ask
    • $1000 corporate donation deposited, plus another $500 corporate donation just received.

 

Vice President Jessica Christiansen reviewed fundraising efforts:

  • Bernie Bash status:
    • She is creating baskets with miscellaneous donations.
    • Crabtree is able to donate wine through a family contact. 5 cases have been requested.
    • Danny Girls is booked for live music at $250 for two hours.
    • Still looking for a DJ that does not require a minimum number of hours.
    • Still need connections for access to desserts for dessert dash.
    • Will pull together volunteer sign up and is trying to get volunteers from feeder schools.
    • Jessica met with Mr. C and Ms. Nelson about presentation.
    • Still need donations for wine and beer pull.

 

Vice President Jessica Christiansen reviewed current membership.

  • Currently 137

 

Volunteer Coordinator Marci Forbes reviewed volunteer needs:

  • Need a lead for March and May staff appreciation breakfast.
    • Diane Smith signed up for March

 

Mr. Crotchett reviewed the progress that Librarian Tini has made with the $4000 donated by the PTA and $2000 donated by the school last year.  She has been organizing a section on history to follow 7th and 8th grade history classes.  80% of the purchase is on the shelves.

 

Vice President Jessica Christiansen reviewed old business:

  • The PTA still needs a website manager for next school year
  • The next Bernie Bash meeting is March 7th in the Community Room at JMS.
  • The PTA will hold a Cascadia School presentation on April 19th for the community based emergency preparedness system. Crotchett will confirm with President Deb Cox about date.

Treasurer Kelly Christopherson suggested that the next PTA meeting be held at Round Table in an effort to draw more members.  All were in agreement.

PTA Minutes-November 16th, 2016

November 16th, 2016

The general meeting of Jackson Middle School PTA was called to order at 6:34pm, Wednesday, October 16th, 2016 by President Debora Cox.  A quorum of members was present.

President Deborah Cox called for a vote to approve the October minutes.  All present approved.

Treasurer Kelly Christopherson reviewed the accounts:

  • Membership forms and Pay Pal have been reconciled. Small discrepancy and Kelly is waiting for additional forms to come in.  Money has been accounted for, just missing a few membership forms.
  • Teacher allocations have been made.
  • Berstein has been funded.
  • $350 was allocated for a new PC for volunteer/visitor check in.
  • Working on collecting $40 in NSF
  • Working on correcting a long ongoing Tofino expense that was erroneously accounted for as a bank charge. Kelly expects a refund from Tofino.

Vice President Jessica Christiansen reviewed fundraising efforts:

  • Learnstein has a small group of volunteers to man the stations
  • Food costs slightly higher due to adding salad and rolls. $2,000 budgeted for event.
  • All JMS staff to eat free along with 11 peer helpers
  • Sign up boards to be in hallway
  • Year End Ask:
    • Support Full Chrome
    • Mailer going out in early December
    • Stated goal for Year End ask is $25,000 (or two Chrome carts).
  • Cookie Dough fundraiser allocated to the general fund.
  • Dough for Dollars is on December 6th, 2016.

Volunteer Coordinator Marci Forbes reviewed volunteer needs:

  • 15-20 volunteers needed for Kids Night Out
  • PTA Clothing Closet
  • A discussion was had that there is no lead for the GNO. Marilyn Bellgique (?) suggested as a possible committee participant and Kevin Crotchett will work with Marilyn to find a committee.  PTA has money in budget to support.
  • A committee is needed for the 8th Grade Legacy project. Kevin will help navigate a student-led group.  New picnic tables are needed and this could be an easy project on a Saturday for students to participate in.
  • Not enough volunteers in general and a discussion was had about emailing 6th grade parents for participation.

President Deb Cox received a grant proposal for $400 for a sound system from PE teachers to encourage activity during PE.  The PE program is growing and there is a greater need for balls, nets and other supplies.

  • Marci Forbes made a motion to approve. Jessica Christiansen 2nd the motion.  All approved.

PTA Minutes-October 19th, 2016

The general meeting of Jackson Middle School PTA was called to order at 6:36pm, Wednesday, October 19th, 2016 by President Debora Cox.  A quorum of members was present.

President Deborah Cox called for a vote to approve the August and September minutes.  All present approved.

Treasurer Kelly Christopherson reviewed the Cookie Dough fundraising results:

  • $21,000 (approximately) in sales (compared with approximately $22,000 in 2015). The net profit was approximately $11,200.
  • Principal Kevin Crotchett will submit Bernstein classroom request and teacher allocations to Kelly Christopherson.
  • President Debora Cox indicated that remittances for membership should be coming any day.
  • Kelly confirmed that she applied for non profit status with Pay Pal in August and they confirmed us on 8/28/16. We now receive a 32% discount on online credit card processing PP fee.

 

Vice President Jessica Christiansen will send the PTA newsletter to Principal Crotchett to add to the JMS update.  Included in the update will be:

  • Need for volunteers for Learnstein Event
  • There is consideration of adding a Boys Drama night to the Teacher Sign Up Boards to increase interest in drama
  • Spreadsheets are in progress for Teacher Sign Ups
  • Dessert and salad will be added to the menu. Donations are requested
  • Advertising will start soon: 16” x 9” posters will be added to the boards for hallways and Jessica will send information to Jen or Kevin to add to monitors.
  • Food handlers cards are required by all servers
  • After Learnstein, a push will be made for Bernie Bash volunteers

 

Vice President Jessica Christiansen reviewed volunteer needs for Volunteer Coordinator Marci Forbes, who could not be in attendance.

  • Volunteers needed for 7th grade Makers field trips
  • Book Fair volunteers needed
  • Sign up needed for Teacher Conference Meals
  • There is a need to find a volunteer lead for the Teacher Appreciation meals in January, March & May
  • Marci will send Principal Crotchett details, so that he can send out a volunteer specific JMS newsletter

 

Principal Kevin Crotchett reviewed upcoming Parent Teacher Conferences:

  • Flyer coming out Friday
  • November 9th & 10th
  • 8:30am-Noon; 3:15-5pm; 6-8:30pm
  • There will be onsite Somali translation one of the nights
  • There will be Spanish translation on the 10th
  • Principal Crotchett and Vice Principal Crabtree will give four 15 minute presentations, both in morning and evening sessions

    • AVID
    • TBD
  • Vice President Jessica Christiansen suggested sending out a notice about what to expect at the conferences
  • Next Principal coffee chat is December 2nd.

 

President Deb Cox discussed:

  • Linking a dedicated volunteer list directly from JMS the site.
  • Ways for parents to contribute financially to the JMS PTA, including Fred Meyer Points that must be relinked each year.
  • Tom Hamman from Lake Oswego P.D. to discuss online safety in January
  • Pizzicato fundraiser night in December

Cookie Dough Chair Greg Anderson reviewed Cookie Dough results as well.

  • 158 students participated
  • Diane Smith will chair next year

 

Past Treasurer Greg Anderson reminded board that the audit needs to be completed.  Current Treasurer Kelly Christopherson will see if Diane Smith can do audit.  Audit is due November 1st.

PTA Minutes-September 21st, 2016

General Meeting

September 21st, 2016

The general meeting of Jackson Middle School PTA was called to order at 6:36pm, Wednesday, September 21st, 2016 by President Debora Cox.  A quorum of members was present.

With Treasurer Kelly Christopherson a review of budget and balances was held:

  • Kelly Christopherson indicated that the first turn-in day of the Cookie Dough fundraiser had raised $12,000 with that amount expected to increase.
  • Crotchett indicated that the classroom funds request would be made soon.

Vice President Jessica Christiansen discussed Learnstein/Special Friends Day and made a request for volunteers.  A request for volunteers for the Bernie Bash was also made.

Membership Lead Robin Atkinson reviewed PTA membership sign ups received.  153 sign up to date.

Volunteer Coordinator Marci Forbes reviewed volunteer needs, especially cookie dough distribution on Friday, September 30th as kids return from Outdoor School as well as other upcoming needs.

President Deb Cox gave an overview of how the Parent Teacher conferences function at JMS.

Principal Kevin Crotchett presented the principal’s report.

  • Presentation of Intro to Success! & AVID and how they will be implemented at JMS.
  • Bernstein will have a common project in Language Arts and Social Studies beginning this year in 7th This will lead to the continuity of the program as some of the original teachers began to retire.
  • Coffee Chats last Friday of every month. Next one is Friday September 30th.
  • Full Chrome initiative at JMS has allowed the school to do the Insight Cards as part of Intro to Success!

President Deb Cox reminded parents about the school store and its hours of operation on Monday and Wednesday from 9am to 9:15am.

Volunteer Webmaster Aimee Knier, sent out an appeal for volunteers to manage website content.

President Deb Cox reviewed ways for parents to contribute financially to the JMS PTA.

  • FM Points and Amazon Smile program

President Deb Cox made a request for topics for future business and suggested, as an example, that we have the Lake Oswego Police Department return to discuss online internet safety.

August 31st, 2016

Call to Order

The general meeting of Jackson Middle School PTA was called to order at 7:01pm, Wednesday, August 31st, 2016 by President Debora Cox.  A quorum of members was present.

President Deb Cox welcomed the large (30 attendees) group to the meeting and reviewed the board’s communication push and ways for members to get involved (Jackson Parents PTA page, newsletter).  Deb reviewed upcoming events and gave an introduction to Full Chrome and Bernstein.

Attendees introduced themselves.

Mr. Parrot led an overview of the Bernstein Artful Learning program and why it is beneficial to the student body.

With President Deb Cox the Standing Rules were approved.

  • Jessica Christiansen motioned to approve
  • Diane Smith 2nd the motion
  • The motion was approved by majority

With Treasurer Kelly Christopherson a presentation of the budget was held:

  • Alice Forbes questioned the viability of the fundraising goals for the Bernie Bash and General Appeal. Treasurer Kelly Christopherson explained that the line item was shifted from Direct Giving-Full Chrome to General Appeal+Matching Gifts.  No further questions.
  • Crotchett led a discussion of Full Chrome for new parents.

With Treasurer Kelly Christopherson the budget was approved.

  • Alice Forbes 2nd the motion
  • The budget was passed with majority

Membership Lead Robin Atkinson and President Deb Cox led an overview of membership and how to join.

Greg Anderson discussed the cookie dough fund raiser and made an appeal for a co-chair.

Vice President Jessica Christiansen led an overview of the Lernstein event and the need for additional help on the committee.
